About the Role:

We are seeking a temp to perm Project Coordinator to join our team! The Project Coordinator will be the face of Kadence working hands-on with our clients and partnering with our internal Developers, Consultants, QA testers, and Leadership to keep all projects well-organized, running smoothly, and completed on time, within budget, and meeting high-quality standards, ensuring our clients get the most out of Salesforce. 

This position is on a hybrid 4-day work week/10-hour days. Monday you will work remotely from your home. T/W/Thu you will be in the office and we are closed on Fridays.

A Day in the Life: 

  • Act as the “face of Kadence” throughout all stages of the project lifecycle from initial design and analysis through implementation and post-implementation follow up. 
  • Assist in preparing action plans by breaking projects into achievable milestones, setting time frames, and monitoring budgets and billable hours. 
  • Leading the coordination efforts of activities, resources, and information across departments to ensure all those involved have the necessary information to be successful and are on the same page.
  • Keep all parts of the process organized and running according to plan through consistent check-ins and hold all individuals involved accountable to timeframes, budgets, and milestones. 
  • Ensure standards and requirements are met through proper documentation, planning, and reporting. 
  • Schedule meetings, prepare all necessary materials for meetings, document and follow up on important actions and decisions, take meetings minutes and distribute to appropriate teams and clients in a timely manner. 
  • Serve as the main point of contact for all communication between our internal team and the client(s). 
  • Liaising with clients via email, phone, and Zoom to ensure their needs are met as the project evolves. You will always keep the ball in the client’s court when it comes to project-related status updates. 
  • Relaying project issues to the appropriate person to successfully resolve problems quickly and effectively. 
  • Updating all necessary information and records within Salesforce and keeping track of client-specific information. 
  • Using tools to monitor working hours, plans, and expenditures. 
  • Occasional travel to client sites, as needed (Less than 10%-Post COVID)
  • All other duties as needed and/or directed.

What You’ll Need: 

    • 1-3 years of proven work experience as a Project Coordinator, or in a similar role where you were the main point of contact and sole contributor to keeping projects on track. 
    • Strong client-facing skills to include written and verbal communication and presentation skills. You must have a solid ability to “read” situations and adjust communication styles to fit whatever message you’re delivering. 
    • Strong ability to prepare, update and interpret flowcharts, schedules and step-by-step action plans and keep multiple teams and departments on track.
    • Solid organizational skills, including time management and multi-tasking skills.
    • Hands-on experience working with tools such as Zoom, Google Calendar, Microsoft Office, Microsoft Excel, Harvest Timekeeping, Salesforce, Lucidchart, and Trello.
    • Excellent written and verbal communication skills.
    • Must have strong customer service skills.
  • Ethical, honest, trustworthy, and respectful.
  • Independent and self-motivated.

Education: 

  • Bachelor’s degree in a related field is preferred, but not required.
